Hiring Manager: “We’ve decided not to move forward with your application.”

If you’ve been interviewing lately, you may have received an email like this.

After multiple rounds, hours of preparation, and conversations that seemed to go well, it’s frustrating to read.

And in that moment, most candidates do one of two things.

They either don’t respond at all.

Or they send a quick reply like:

“Thanks for letting me know.”

Then they move on.

Both are missed opportunities.

Because hiring decisions aren’t always as final as they seem.

I’ve seen situations where:

• The chosen candidate turns down the offer
• The new hire doesn’t work out in the first 90 days
• A similar role opens up a few weeks later

When that happens, hiring managers often go back to the shortlist of candidates they liked during the process.

And they remember the people who handled the rejection with professionalism and grace.

Instead of disappearing, I recommend sending a short message that keeps the relationship open.

Here’s a simple framework you can use.

1- Acknowledge with appreciation

Thank you for letting me know, and for the opportunity to meet with you and your team. I really enjoyed our conversation about [specific topic].

2- Show professionalism

While I was hoping for a different outcome, I completely understand that these decisions are rarely easy.

3- Reinforce what resonated

I was especially impressed by [something specific about the team, role, or company] and it reinforced my interest in the work you’re doing.

4- Keep the door open

If similar opportunities arise in the future, I would welcome the chance to reconnect. Please feel free to keep me in mind.

You don’t need to send a long email. Even a short message like this can keep the relationship open.

At the mid-career level, every relationship matters.

A rejection today doesn’t always mean a rejection forever.

Sometimes it simply means not yet.
